A medical office assistant is a great career for any person who wants to be a part of medicine, but who doesn’t have the time or money to pursue a more in-depth education that leads to nursing or medical school. Our course introduces you to daily activities for the medical office assistant which include setting up appointments, greeting patients and completing their insurance paperwork.  Also included is the billing and collection of payments from the patients, paying bills and payroll, as well as ordering supplies and paying invoices.  It seems like a lot, but good training will help you figure out how to handle the organization of all these facets in this career.  If you are well organized, friendly, and have a passion for medical topics, this may be a good career for you!

After completing this course, you should be able to:

  • Identify ethical responsibilities and effective communication strategies of a medical office assistant
  • Recognize the time-saving functions related to scheduling, appointments and processes of filing electronic clinical records in a medical office
  • Recognize the basics of medical billing and coding as it relates to a medical office
  • Identify trends in the healthcare system and in individual clinics and the strategies needed to land a job

Ethics and Communication

Standards of ethics is often based upon understanding what is right or wrong for humans to do.  In module one, we will look at parts of ethics based on laws, society’s opinions, religious beliefs and your own feelings, as it relates to working in the medical office.  Also included in this module is a look at how to navigate the Medical Office Assistant’s daily communication network. We will examine how to manage the waiting area, to include its appearance for adults and children, and how to work with impatient patients.

Scheduling and Patient Records

In module two, we will look at the process of scheduling patients.  In some ways, scheduling patients is like putting together a giant jigsaw puzzle and this week we will examine the critical pieces in establishing a well-run medical office, as well as inpatient and outpatient procedures. The medical office assistant is responsible for patients’ medical records and during module two, we will examine the processes of filing papers and electronic records effectively and efficiently.

Medical Billing and Coding

Module three includes a discussion about the benefits of electronic claims processing and how to make the most of paper claims processing.  Insurance terminology will be introduced this week, as well as electronic claims processing terminology and coding basics. Whether you work for a small medical practice or a clinic, you will need to understand the ins and outs of medical billing and coding. This week, we will examine the basics of medical billing and coding as it relates to your role in the medical office.

Office Management and Trends

Module four will focus on the basics concerning accounting, how to run the office budget, the ins and outs of accounts payable, and handling the payroll for your employer.  Like any business, the medical office require plenty of supplies every month, and your job as an office assistant is to pay attention to the inventories and handling invoices sent by the vendors and suppliers.  A medical office assistant plays a vital role in the medical office and in module four, we will examine what it takes to interview and stand out when applying for this position.
